How to Create a DigitalAsset

This guide explains how to add a new photograph or document to the system.


What is a DigitalAsset?

A DigitalAsset is a source such as:

  • a photo
  • a scan
  • a letter
  • an article
  • a PDF

Each source gets its own page.


Step-by-step

Step 1 – Prepare your file

Make sure you have:

  • the image or PDF ready
  • good quality if possible


Step 2 – Create the DigitalAsset page

Open the DigitalAsset form.

Fill in:

  • title or short description
  • chapter
  • place or organization
  • any notes

Save the page.

The system will automatically generate an identifier.


Step 3 – Upload the file

Upload the file using the generated identifier as the filename.

Example:

 CH03-ROM-0007.jpg


Attach the file to the DigitalAsset page.


Step 5 – Done

Your source is now:

  • stored safely
  • documented
  • searchable
  • linked to research objects


Important tips

  • one file = one DigitalAsset
  • do not group multiple files together
  • do not invent your own numbers
  • keep descriptions clear and simple
